About the role
Position Summary
The Internal Medicine Client Care Coordinator is the primary point of contact for clients navigating a specialty internal medicine caseload — from referral through diagnostics, treatment, and follow-up. The ideal candidate has hands-on vetmed floor experience and is comfortable translating clinical information for clients while keeping the internal medicine schedule running smoothly.
Key Responsibilities
- Serve as the main liaison between clients, referring veterinarians, and the internal medicine care team
- Schedule appointments, rechecks, and diagnostic procedures in collaboration with the clinical team
- Communicate clearly with clients about diagnoses, treatment plans, and next steps, escalating clinical questions to the doctor as needed
- Manage incoming referrals, ensuring records and diagnostics are received prior to appointments
- Support clients through chronic or complex cases, including difficult or emotional conversations
- Prepare cost estimates, discuss financial options, and process payments
- Maintain accurate documentation in the practice management system
Required Qualifications
- Hands-on veterinary medical experience working on the floor (e.g., as a veterinary assistant or technician) — required
- Working knowledge of veterinary terminology, diagnostics, and treatment workflows
- Strong communication skills, with the ability to explain clinical information clearly to clients
- Ability to stay calm and empathetic with clients during high-stress or emotional situations
- Strong organizational skills, comfortable managing multiple cases and priorities at once
Preferred Qualifications
- Prior experience in a specialty or referral practice, particularly internal medicine
- Experience handling client financial conversations, estimates, or payment plans
