Meet the Team
The Office Manager provides comprehensive administrative and operational support to ensure the site runs efficiently and professionally while serving as a trusted point of contact across teams, vendors, and onsite leadership. The Office Manager maintains organized systems and documentation, supports internal communications, and helps coordinate events and engagement activities to foster a positive workplace environment. This position requires strong judgment, initiative, and the ability to manage multiple priorities while handling sensitive information with professionalism and discretion.
What You’ll Do
- Manage office operations, including inventory of office, health, cleaning, and breakroom supplies and equipment.
- Own vendor relationships for office services and supplies, from sourcing through ongoing performance.
- Develop SOPs (Standard Operating Procedures) for process consistency, create templates, playbooks, and shared services models, and execute predefined business procedures, processes, and projects.
- Partner closely with Facilities to ensure the site stays compliant with heath, safety, and security protocols.
- Provide light maintenance and troubleshooting across a wide variety of office equipment.
- Support strategic planning for the office and help solve office-wide operational challenges.
- Actively plan, coordinate, and execute company workshops, events, parties, and celebrations including larger on-site meetings and workshops, site-specific, corporate, or off-site activities that support employee engagement, and hosting external visitors and special guests.
What You’ll Need to Succeed
- Bachelor’s degree in business administration or related discipline and 2+ years of experience in office management or a similar administrative role.
- Experience using electronic calendaring, communication, presentation, and reporting tools across (examples: MS Office, Adobe Pro, DocuSign, Navan / Concur, Workday, Jira), as well as other tools that streamline administrative workflows and support the introduction or improvement of automation to enhance efficiency and reduce manual work.
- Demonstrated problem-solving, organizational, prioritization, and strong time-management skills.
- Ability to ethically handle sensitive and highly confidential information with impartiality, integrity, and professionalism.
- Ability to thrive in a fast-paced, quickly changing environment while maintaining a positive and professional demeanor.
- Ability to use verbal and written communication to build trust and strong relationships, effectively create reports and relate data, and communicate to a diverse workforce as well as external partners and guests.
- Ability to meet travel, training, and safety requirements applicable to a product development environment, including: US Driver’s license, use of personal protective equipment, and occasional exposure to inclement / outdoor weather conditions.
Travel, Training and Safety
- Position requires transportation to locations outside the main complex. Valid US Driver’s license with a safe driving record required.
- Wear appropriate personal protective equipment as required in areas identified through hazard assessment.
- Requires continuous technical education and training with a passion for knowledge in the field of study to maintain the highest level of knowledge, ingenuity, and creative thinking.
Physical Demands
- Occasional exposure to outdoor weather conditions. Ability to work occasionally in inclement weather/temperature extremes.
- May occasionally lift and carry up to 40 pounds.
- Ability to make presentations and communicate to small and large groups.
- The position requires the employee to be able to enter, exit, and ride in both class 8 trucks and passenger vehicles.
- Ability to work overtime when project demands. Ability and willingness to work a flexible schedule when necessary.
