About the role

The Opportunity

Legion is hiring an exceptionally organized and detail-oriented Medical Virtual Assistant to help operate the systems that support our growing network of healthcare providers.

You will support providers throughout their relationship with Legion—from recruiting and onboarding through active operations, payroll preparation, and offboarding. Your work will help ensure candidates receive timely follow-up, new providers are ready to begin, operating records remain accurate, and payroll inputs are complete before they are finalized.

This is not a generic assistant role. You will own recurring, detail-heavy workflows that directly affect providers, internal teams, and Legion’s ability to deliver patient care. A missed document can delay a provider’s start date. An inaccurate status field can create confusion across teams. An overlooked payroll discrepancy can affect a provider’s pay. Precision and follow-through matter.

The right person enjoys bringing order to complex workflows. You should be comfortable maintaining spreadsheets and trackers, coordinating across multiple teams, following up persistently, documenting decisions, and identifying missing information before it becomes a larger problem.

This role is a strong fit for someone who enjoys checklists, healthcare operations, provider communication, reconciliation work, and continuously improving how recurring processes are run.

Responsibilities and Deliverables

  • Coordinate provider recruiting operations, including:
    • Maintaining accurate candidate records and statuses.
    • Scheduling and confirming interviews.
    • Following up with candidates about outstanding steps.
    • Updating hiring records and internal trackers.
    • Coordinating handoffs between recruiting and onboarding.
  • Support provider onboarding from accepted offer through start readiness, including:
    • Collecting required documents and information.
    • Maintaining onboarding checklists and status trackers.
    • Following up promptly on missing or incomplete items.
    • Coordinating internal handoffs across relevant teams.
    • Confirming that required operational steps are complete before a provider begins.
    • Escalating blockers that could delay a provider’s start date.
  • Maintain accurate provider-operations records, including:
    • Provider rosters.
    • Recruiting and onboarding status.
    • Active, inactive, and offboarding providers.
    • State coverage and provider availability.
    • Collaborating-physician relationships.
    • Credentialing and payer-enrollment status.
    • Outstanding documents, approvals, and follow-up items.
  • Communicate clearly and professionally with providers through Slack, email, and approved internal systems.
  • Support weekly payroll preparation, including:
    • Gathering provider compensation inputs from approved systems.
    • Reviewing visit counts, no-shows, and late cancellations.
    • Updating payroll and payment trackers.
    • Reconciling discrepancies across source systems.
    • Confirming that supporting information is complete.
    • Escalating unresolved discrepancies before payroll is finalized.
    • Maintaining a clear record of changes, questions, and resolutions.
  • Coordinate across recruiting, credentialing, clinical operations, billing, finance, and payroll to keep provider workflows moving.
  • Maintain clear task queues and follow-up systems so that outstanding items do not fall through the cracks.
  • Document recurring workflows and update SOPs, checklists, and templates as processes evolve.
  • Identify opportunities to simplify, standardize, or automate repetitive administrative work.
  • Handle sensitive provider, company, hiring, and compensation information with discretion and care.
  • Raise unclear ownership, conflicting information, or potential errors promptly rather than making unsupported assumptions.

  • Move quickly without sacrificing accuracy.
  • Communicate professionally and confidently with clinicians, candidates, contractors, and internal teammates.
  • Remain calm and organized when priorities change or multiple deadlines overlap.
  • Build reusable checklists, trackers, and workflows that make provider operations easier to scale.
  • Earn the trust of providers and teammates through reliability, discretion, accuracy, and consistent follow-through.

Ideal Background and Skills

  • 2+ years of experience in one or more of the following:
    • Healthcare operations.
    • Provider operations.
    • Recruiting coordination.
    • Provider or employee onboarding.
    • Payroll or invoice support.
    • Human-resources administration.
    • Executive-assistant or virtual-operations support.
  • Strong preference for experience supporting:
    • Clinicians or other healthcare professionals.
    • Independent contractors.
    • Distributed or fully remote teams.
    • Recurring payroll, payment, or reconciliation workflows.
  • Excellent organizational skills and close attention to detail.
  • Strong spreadsheet skills, including maintaining structured trackers, reviewing data, reconciling differences, and identifying missing information.
  • Careful with names, dates, pay periods, visit counts, status fields, and supporting documentation.
  • Clear, concise, and professional written English.
  • Comfortable following up persistently and respectfully with providers and internal teammates.
  • Able to manage several recurring workflows and deadlines simultaneously.
  • Proactive about identifying blockers, discrepancies, unclear ownership, and overdue action items.
  • Comfortable working in a fast-moving startup where processes may evolve as the company grows.
  • Able to handle confidential provider, recruiting, company, and compensation information appropriately.
  • Familiarity with HIPAA-sensitive healthcare environments and appropriate information-handling practices.
  • Experience with any of the following is a plus:
    • Google Sheets.
    • Slack.
    • Ashby or another applicant-tracking system.
    • Healthie or another EHR or practice-management platform.
    • Looker Studio or similar reporting tools.
    • Stripe or contractor-payment platforms.
    • Payroll, invoicing, or payment-reconciliation workflows.
    • Telehealth or behavioral-health operations.
    • Credentialing and payer enrollment.
    • Healthcare billing.
    • Provider scheduling or workforce operations.
