About the role:
8am's Executive Assistant will play a meaningful role supporting the successful operations of our revenue organization. As part of the EA team and reporting directly to the Executive Administrator, the Executive Assistant will manage business priorities and provide high-level administrative support for our Chief Revenue Officer (CRO). Responsibilities include research, schedule, meeting, event, and travel coordination, and various levels of documentation. The Executive Assistant will also support the Sales and Marketing teams with in-office onsites and events in partnership with our Engagement team.
The ideal candidate is extremely detail-oriented, anticipates needs, thinks critically, and offers solutions to problems with a high level of professionalism and confidentiality. Through exceptional project management and logistical support, the Executive Assistant will increase organizational efficiency and ensure strategic initiatives and projects are diligently monitored and completed.
What you'll do:
- Provide high-level administrative support to the Chief Revenue Officer, including managing a dynamic calendar, prioritizing meeting requests, and preparing the CRO for internal and customer-facing meetings.
- Work cross-functionally with the Executive Administrator, the EA team, and the Executive Leadership Team (ELT) to support project management of organizational priorities and initiatives.
- Conserve the CRO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
- Plan and schedule meetings, conferences, offsites, team events, teleconferences, and travel for the CRO, in partnership with the Executive Administrator and EA team.
- Support the Sales and Marketing teams by coordinating in-office onsites, meetings, dinners, team builders, and other events in partnership with the Engagement team.
- Provide an exceptional experience during onsites and offsites by preparing first-class accommodations and a welcoming environment for guests, whether in person or virtual.
- Maintain customer confidence and protect operations by keeping information confidential.
- Provide historical reference by developing and using filing and retrieval systems and recording meeting discussions.
- Leverage AI tools to streamline workflows, draft communications, summarize information, and improve efficiency across administrative tasks.
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, building personal networks, and participating in professional societies.
- Prepare and submit expense reimbursement forms for the CRO and supported teams.
- Manage selected organization-wide meetings and events, including sending calendar invites and reminders, preparing slide decks and agendas, taking notes, documenting action items, and following up with involved parties to keep projects moving and on deadline.
- Provide support at external and internal events as needed.
About you:
- Bachelor's degree preferred, or equivalent experience
- 3+ years of Executive Assistant experience in a fast-paced, dynamic environment, ideally supporting a sales or revenue leader
- Very high emotional intelligence, with strong interpersonal skills and the ability to build relationships with key stakeholders
- Comfortable working in a highly collaborative team environment and able to navigate ambiguity
- Experience juggling competing demands and prioritizing without sacrificing quality
- Extremely detail-oriented, with a tendency to notice and fix errors that others might overlook
- Experience managing complex calendars, including booking and managing travel logistics
- Experience planning and executing team events, dinners, and onsites
- Proficient with AI tools (such as Claude, ChatGPT, Gemini, or Copilot) and enthusiastic about using them to work smarter)
- Strong computer software skills (Google Workspace: Gmail, Slides, Docs, and Sheets)
- Ability to work in the Austin office 4 days a week on a hybrid schedule, and availability outside normal working hours as needed
- Ability to manage up and communicate with discretion and judgment on behalf of the CRO and Executive Leadership Team, while protecting confidential and sensitive information
- Ability to quickly learn and adopt new technologies and stay flexible
- Ability to travel occasionally as needed
